Sharing DRCs with Multiple Readers Using the Share Tool / Widget Link

Edelweiss’ DRC Share Tool allows you to grant DRC access (one or more titles) to many users at once, and generate handy widgets for your DRC(s) that you can email to users.

Find the DRC Share Tool by opening your Administration > Review Copies > Share page.
If you haven’t Auto-Approved the individuals you plan to Share DRCs with, you can grant access to one or more DRCs across a large number of your contacts using the Group feature. In addition, you can email yourself a nice little widget/link for each selected DRC that includes its cover image and core bibliographic information; this can be re-purposed in a custom email message within your own personal email system, Outlook, Google, Yahoo, etc.
If everyone you want to share a DRC with already has access to the title(s), because you or one of your colleagues has Auto-Approved them, skip to Step 2. Otherwise, start with Step 1.
1) Before you can start using the Share functionality to grant access to many users, you first need to set up your Contact Group(s). For information on loading Contacts and creating groups, refer to our Contact Management Help articles here. If you would like to send the link to a group of people (ie. Kirkus reviewers, B&N booksellers, etc), but aren’t sure of their email addresses, you will want to auto-approve the Community group via your publisher 360 module.
Once you have a group ready to use, enter/select the title(s) you want to grant access to on the Share tool. Then, select the appropriate group from the Contacts Filter. Lastly, click the Grant All-Access button (the most important step!), and watch your number of Contacts without Access fall to 0 (Contacts with Access count will increase).

2) To create the DRC-linked title widgets, click the Email button on the page’s Shareable Content section and send it to yourself.

Since the widget email’s sender is edelweiss-alerts@abovethetreeline.com, it’s best to use this as a starting point in creating a personalized email that comes directly from your own personal email address/mail system. That way, your recipients’ email SPAM filters are less likely to block them, and replies will go straight to your inbox! Just copy that widget and paste it into a separate email, or forward the original email along to your accounts.

You can click on the @ symbol next to the count of Contacts with Access to view and copy the entire list of email addresses who now have access to this title(s) and paste them into your personal email’s Blind CC box to use as your recipient / “to” list.

 

Note that the people with whom you share a DRC will need to have an Edelweiss account using the same email address with which you share the DRC. If they do not have an Edelweiss account, they’ll need to create one here: https://www.edelweiss.plus/.

If they do have an account but use a different email address to log in to Edelweiss than the one you shared with, they will not be able to access the DRC. An Edelweiss user’s email address acts as their personal identifier in Edelweiss. It’s best to check with them before sharing DRCs if you’re not sure!

Note that the maximum number of emails / users you can share with at once is 200.
